THE PROBLEM

When design and fabrication are contracted separately, the show floor is where the two contracts meet for the first time.

A designer produces a render, a fabricator prices it, and the compromises begin: materials substituted to hit the quote, structural details resolved on the fly in the workshop, and finish quality discovered at 11pm on build night when there is no time to fix it. The economics follow the engineering: the core amortises over multiple shows, and only the surface layer is bought fresh each time, which typically brings the cost of the third and fourth outing well below the first. Questions about stall design and fabrication

The choice is driven by the show calendar, not by aesthetics alone. An organisation exhibiting once a year at a flagship show with a stable footprint can justify a fully custom build with premium finishes. An organisation exhibiting four or more times a year across varying footprints is usually better served by a custom-designed modular core that reconfigures between shows, with fresh graphics per event. Modern modular engineering does not have to look like rented shell scheme; the visible finish can be fully bespoke while the structure underneath is standardised. The honest comparison is total cost across the calendar, including transport, storage, and rebuild labour, not the price of a single show.

For a custom stall of meaningful scale, plan 10 to 14 weeks from brief to show floor: two to three weeks for concept and design development, one to two weeks for technical drawings, organiser approvals, and structural sign-off, four to six weeks for fabrication, and the remainder for graphics production, logistics, and the build window itself. Larger double-deck or rigged structures need longer because organiser structural approvals have fixed submission deadlines. Compressed timelines are possible but the compression comes out of design iteration and workshop quality checks, which is precisely where cost overruns and on-site failures originate.

If reuse is engineered in at the design stage, the structural core (framework, counters, meeting room shells, flooring systems, furniture, AV mounts) commonly represents 50 to 70 percent of the first build cost and can serve three to five shows before refurbishment. Graphics, lighting consumables, and show-specific elements are replaced each time. The savings depend on disciplined asset management: crating designed for the components, a maintained asset register, dry storage, and inspection after each dismantle. Reuse retrofitted onto a stall that was built as a one-off rarely works, because the joints, panels, and finishes were never designed to be taken apart and reassembled.
